Understanding user roles

What is a User vs. a Person

For the context of this article, a User is someone who has login access to the PI software. A Person is someone who has completed an assessment in the software. They may or may not also be a User.

What is a User Role?

A pre-defined set of permissions that a particular software user can be granted. There are five different user roles with different level of access to change settings, take actions, or view information about people who have taken assessments. This article outlines the differences between these User Roles to help you determine what Role you’d like to assign different individuals on your team when you grant software access.

What People and Jobs can Users view?
The above details what a User is able to do in the software based on their defined User Role. Additionally, Account Owners and Account Admins can grant and restrict access to People and Jobs by different Users. This is done through Folder Management (Learn more about Folders). For example, an Account Owner/Admin may set up Folders by department and grant the employee a Read Only User type with access to only the employees and jobs in their particular department.

Summary

  • Account Owners and Account Admins have access to all People and Jobs in the software.
  • Power Users, Users, and Read Only have access to all People and Jobs in the Folders they have access to, based on the access granted by the Account Owner and Account Admin.
  • Third Party External Users have access to all People and Jobs in the software but cannot add/delete users or other third party users. They will also not have cognitive access.
